Timesheet

The Timesheet provides a comprehensive view for entering, reviewing, and managing time entries. It displays your work week in a grid format, making it easy to see time across multiple projects and days.

Accessing the Timesheet

  1. Click Time Tracking in the main navigation
  2. Your timesheet for the current week displays automatically
  3. Use the date navigation to view other weeks

Timesheet Layout

Grid View

The timesheet displays as a grid:

  • Rows - Each project/category combination
  • Columns - Days of the week
  • Cells - Hours worked
  • Footer - Daily and weekly totals

List View (Agenda)

Toggle to List View for a chronological display:

  • Entries shown in time order
  • Full details visible for each entry
  • Comments and notes displayed
  • Edit actions readily available

Switch views using the tabs at the top of the timesheet.

Adding Time Entries

Quick Add

  1. Click an empty cell in the grid (intersection of project row and day column)
  2. Enter hours worked
  3. Click outside the cell or press Enter to save

Detailed Entry

For entries with additional information:

  1. Click the + button or click in an empty cell
  2. The time entry dialog opens
  3. Complete the form:
    • Project - Select from dropdown
    • Category - Type of work
    • Date - Pre-filled from selected cell
    • Hours - Enter total hours, OR
    • Start/End Time - Enter specific times
    • Pay Type - Regular, overtime, PTO, etc.
    • Notes - Description of work
    • Mileage - Miles driven (optional)
  4. Click Save

Adding to Existing Rows

If you've already worked on a project this week:

  1. Find the existing row for that project/category
  2. Click the cell for the day you want to add time
  3. Enter or edit the hours

Editing Time Entries

Quick Edit

  1. Click directly on a cell with hours
  2. Modify the value
  3. Click outside to save

Full Edit

  1. Click on a time entry to open the detail panel
  2. Click Edit
  3. Modify any fields
  4. Click Save

Editing Start/End Times

If your entry has specific start and end times:

  1. Open the time entry detail
  2. Click Edit Times
  3. Adjust the start or end time
  4. Hours are recalculated automatically

Deleting Time Entries

  1. Open the time entry detail panel
  2. Click Delete or Void
  3. Confirm the deletion
Voided Entries

Voided entries are soft-deleted and can be recovered by administrators if needed.

Duplicating Entries

For repetitive work:

  1. Open an existing time entry
  2. Click Duplicate
  3. A copy is created with the same details
  4. Edit the date or other fields as needed

Time Entry Comments

Add comments to document work or communicate with managers:

  1. Open a time entry detail
  2. Scroll to the Comments section
  3. Type your comment and click Add
  4. Comments are visible to you and your managers

A comment count badge shows entries with comments.

Pay Types

Selecting Pay Type

When adding or editing time:

  1. Choose the appropriate Pay Type:
    • Regular - Standard hours
    • Overtime - Hours beyond regular threshold
    • PTO - Paid time off
    • Additional custom types (company-configured)

Multiple Pay Types Same Day

You can have multiple entries for the same day with different pay types:

The footer row shows totals:

  • Daily totals - Sum of all entries for each day
  • Weekly total - Sum of all entries for the week
  • Mileage totals - Total miles if mileage tracking is enabled
  • PTO hours - Separate total for PTO entries

Week Navigation

Changing Weeks

  • Arrow buttons - Move forward or back one week
  • Date display - Click to open date picker
  • Today button - Jump to current week

Week Boundaries

Your company sets the week start day (typically Sunday or Monday). All weekly views align to this setting.

Timesheet Status

Status Indicators

Your timesheet can be in one of three states:

*You can retract a submitted timesheet to make edits before approval.

Submitting for Approval

When your week is complete:

  1. Review all entries for accuracy
  2. Click Submit for Approval
  3. Add optional notes for your manager
  4. Confirm submission

Validation and Warnings

Missing Information

The system warns about:

  • Entries without end times (incomplete clock-ins)
  • Days with zero hours (if warnings enabled)
  • Entries exceeding reasonable limits

Entry Validation

Time entries are validated for:

  • Valid project selection
  • Valid category selection
  • Hours within allowed range
  • Dates within the selected week

Tips for Efficient Entry

Weekly Review Routine

  1. Enter time daily or at end of each day
  2. Add notes while details are fresh
  3. Review entire week before submitting
  4. Submit on schedule for payroll processing

Using Categories Effectively

  • Choose specific categories over general ones
  • Consistent category use improves reports
  • Ask your manager if unsure which category to use

Working with Projects

  • Use the search box to find projects quickly
  • Recently used projects appear at the top
  • Star frequently used projects for quick access
