Signees & Signatures
All contracts require signatures from designated parties before becoming legally binding. Understanding who needs to sign and how the signature process works ensures smooth contract execution.
Understanding Signees
Signees are individuals who must provide their signature to finalize the contract:
- Client-side signees - Decision makers from the customer's organization
- Company-side signees - Your team members who execute the contract
- All signees required - Every designated person must complete their signature before the contract is fully executed
The contract remains in a pending state until all signatures are collected.
Client Signees
Client signees are the individuals making the purchasing decision:
Primary Contact
The main decision maker is typically auto-populated from the project's primary contact. This person:
- Receives the contract first
- Has primary authority to approve the project
- Must provide a valid email address
Important: Verify the primary contact's email is correct before sending. Incorrect emails delay the entire signature process.
Secondary Contact
Add a secondary contact when needed:
- Spouse - For residential projects where both homeowners must approve
- Business partner - Co-owners who share decision-making authority
- Financial officer - Someone who controls budget approval
When to add multiple client signees:
- Married couples purchasing together
- Business partnerships or LLCs
- Any situation with shared decision-making authority
Company Signees
Your internal team members who sign on behalf of the company:
Sales Representative
The salesperson handling the project typically signs first:
- Confirms project scope and pricing
- Represents the company's offer
- Usually auto-populated from the project record
Manager/Owner
Some companies require manager approval:
- High-value contracts - Projects exceeding certain dollar thresholds
- Company policy - Standard practice for all contracts
- Counter-signature - Manager signs after client to validate the agreement

Common Signee Scenarios
Single Homeowner
- Client signee: Primary contact only
- Company signee: Sales representative
- Simplest signature flow
Married Couple
- Client signees: Both spouses as primary and secondary contacts
- Company signee: Sales representative
- Both homeowners must sign before sales rep can counter-sign
Business Contract
- Client signee: Authorized company representative (owner, officer, or designated authority)
- Company signees: Sales rep + manager (if required by dollar threshold)

Best practice: Confirm who needs to sign before sending. Adding signees after the initial send complicates the process and may require resending to everyone.
