Permit Status

Permit statuses track where each permit is in its approval lifecycle. Statuses are customizable by your company to match your workflow.

Understanding Statuses

Each permit has a status that indicates its current state. Common status examples:

PendingApplication not yet submitted
SubmittedApplication sent to municipality
Under ReviewMunicipality is reviewing the application
ApprovedPermit has been approved
RejectedApplication was denied
ReceivedPhysical permit document in hand
ExpiredPermit has passed its validity period

Changing Permit Status

From the Permits Table

  1. Navigate to the project's Permits tab
  2. Find the permit you want to update
  3. Click the ... menu → Edit
  4. Select the new status from the dropdown
  5. Update any relevant dates (e.g., set Received Date when approved)
  6. Click Save

From a Permit Board

If using a Permit Board, you can drag and drop permit cards between status columns to quickly update their status.

Filtering by Status

Use the status filter at the top of the permits table to focus on permits in a specific status:

  1. Click the Status dropdown above the permits table
  2. Select a status to filter by
  3. Only permits matching that status are displayed

This is helpful for:

  • Seeing all pending permits that need follow-up
  • Reviewing recently approved permits
  • Finding rejected permits that may need resubmission

Open vs Closed Status

Statuses can be marked as "open" or "closed":

  • Open statuses - Permit is still in progress (Pending, Submitted, Under Review)
  • Closed statuses - Permit lifecycle is complete (Approved, Rejected, Received)

This distinction helps with reporting, such as the Open Permits Report which shows only permits in open statuses.

Customizing Statuses

Permit statuses are company-specific and can be configured by administrators.

To manage permit statuses: Contact your Readybuild administrator to add, edit, or reorder permit statuses.

Status Workflow Tips

  1. Define clear statuses - Create statuses that match your actual permit workflow
  2. Order statuses logically - Arrange statuses in the sequence permits typically follow
  3. Use open/closed flags - Mark completion statuses as "closed" for accurate reporting
  4. Train your team - Ensure everyone uses statuses consistently
