Understanding Cycle Time

What It Measures

Time from entering a stage to leaving it:

  • Measures process efficiency
  • Identifies bottlenecks
  • Sets realistic expectations

Stage Types

Sales Stages: Lead to contract

  • New Lead
  • Qualified
  • Appointment Set
  • Proposal Sent
  • Negotiation

Design Stages: Concept to completion

  • Design Kickoff
  • Concept Development
  • Client Review
  • Final Design

Production Stages: Start to finish

  • Pre-Production
  • In Production
  • Punch List
  • Closeout

Average vs. Median

Average (Mean)

Sum of all values divided by count:

  • Affected by outliers
  • One long project skews results

Median

Middle value when sorted:

  • More representative
  • Better for typical duration

Example

Days: 5, 7, 8, 10, 50
Average: 16 days
Median: 8 days

Use median for "typical" duration.

Identifying Bottlenecks

Signs of Problems

  • High average vs. median (outliers)
  • Consistently long stage duration
  • Increasing trend over time
  • Wide min/max spread

Common Causes

Stage TypeCommon Bottleneck
SalesProposal turnaround
DesignClient decisions
ProductionPermit delays

Using the Data

  • Plan project schedules
  • Staff appropriately

Improve Process

  • Focus on longest stages
  • Address bottleneck causes
  • Measure improvement

Benchmark

  • Compare project types
  • Compare time periods
  • Track improvement
